What is Industrial HVAC Planned Preventative Maintenance?
A planned preventative maintenance (PPM) contract for industrial HVACs is a scheduled programme of inspections, cleaning and servicing carried out at regular intervals before problems develop. PPM identifies wear and minor faults early so they can be resolved with minimal disruption to operations.
For industrial sites, a planned maintenance visit will cover:
- Cleaning and inspecting filters, evaporator coils and airflow
- Checking and recording refrigerant levels for F-gas compliance
- Visual inspection of heat exchangers, pipework and pipe connections
- Wiring and electrical safety checks
- Testing system controls and overall performance
- Issuing a full written service report with any remedial recommendations
Industrial HVAC systems often include a mix of equipment. Chillaire’s engineers possess extensive experience with the full range of equipment commonly found on industrial sites, including:
- Air conditioning systems (split, multi-split and VRF)
- Warm air heating units
- Gas-fired burners and boiler plant
- Chiller plant
- Industrial cooling systems
- Ventilation systems and air handling units
- Heat recovery systems
- BMS (Building Management Systems)
A single Chillaire maintenance agreement can cover all of these under one contract, managed by our team so you are not left chasing multiple contractors for different systems. We can tailor our maintenance plans to suit your site and systems.
The Benefits of a Planned HVAC Maintenance Contract For Industrial Businesses?
Reduced Unexpected Breakdowns
Unplanned HVAC failures in a manufacturing or warehouse environment can cause production to stop and temperature changes, which all have a knock-on effect on staff productivity. PPM significantly reduces the frequency of unexpected failures by keeping systems in good working order and catching early warning signs before they escalate.
At Chillaire, our contract customers also have access to our 24-hour emergency breakdown service, 365 days a year.
Extended Equipment Lifespan
Industrial HVAC equipment is a significant investment, and a system this size needs regular maintenance to keep it working as it should, much like servicing a car.
Regular servicing helps prevent wear and tear from building up and keeps the system operating as it was designed to. Over time, this can add years to the life of your HVAC equipment and help you get the most out of the system already in place, rather than having to consider a replacement sooner than expected.
Lower Energy Costs
Poorly maintained HVAC systems have to work harder to maintain the same temperature, which can push up energy use. Regular maintenance keeps components such as coils, filters, refrigerant and controls working properly, helping your system run efficiently.
This can have a positive effect on the day-to-day energy consumption for large industrial sites running HVAC for long periods.
F-Gas Compliance and Documented Records
Under current UK F-Gas regulations, businesses are legally responsible for monitoring refrigerant levels and maintaining accurate service records for each system. The required checking frequency depends on the refrigerant charge:
- Systems with 3 kg or more: checked annually
- Systems over 30 kg: checked every six months
- Systems over 300 kg: checked quarterly
These records can be inspected by REFCOM, the UK’s F-gas register. Non-compliance can result in penalties.
Chillaire’s F-gas-certified engineers update and maintain your service records on your behalf at every planned visit, keeping compliance straightforward and fully documented.
Protected Manufacturer Warranty
Leading HVAC brands including Daikin, Mitsubishi Electric and Fujitsu require evidence of regular, qualified servicing to keep their warranties valid. Missed or undocumented maintenance visits can invalidate warranty cover, leaving the business exposed to the full cost of a major breakdown or complement failure.
Extended Parts Warranty for Qualifying Systems
Chillaire can arrange extended parts-only warranty cover on qualifying systems. This extended cover is available subject to a Chillaire service agreement being in place and remaining active throughout the warranty period. If the service agreement is cancelled at any point, the extended warranty becomes invalid.

How Often Should Industrial HVAC Systems be Serviced?
The statutory minimum for most HVAC systems is one service per year, but Chillaire recommends twice-yearly visits for the majority of industrial installations. Industrial environments are typically more demanding than commercial offices or retail spaces, which means wear accumulates faster and more frequent inspection is warranted.
For more detail on servicing intervals, read our article on how often HVAC and air conditioning units should be serviced.
How Do You Set Up an Industrial HVAC Maintenance Contract with Chillaire?
Chillaire’s planned maintenance agreements are set up as annual contracts that manage the full maintenance schedule on your behalf. Setting up a contract with Chillaire starts with a free site survey so we can assess your systems:
- Free site survey and assessment of all plant
